This position requires exceptional administrative, communication, and multitasking skills.
Responsibilities:
Maintain a clean and organized office environment.
Manage office supplies, equipment, and inventory.
Coordinate and schedule office maintenance and repairs.
Handle incoming and outgoing mail and packages.
Assist in organizing office events and meetings.
Support staff with general administrative needs.
Prepare and distribute internal newsletters, announcements, and memos.
Update and maintain the company's bulletin boards and communication platforms.
Manage incoming phone calls and emails and direct them to the appropriate individuals.
Assist in organizing company-wide communication initiatives.
Assist the Accounting Department with data entry and recordkeeping.
Process and reconcile expense reports, invoices, and purchase orders.
Work closely with the Finance team to ensure timely and accurate financial record keeping.
Assist the HR Department in maintaining employee records and files.
Coordinate employee onboarding and offboarding processes.
Assist with scheduling interviews and coordinating the hiring process.
Support HR initiatives, such as benefits administration and employee training.
Qualifications:
High school diploma or equivalent; additional education or training in office administration is a plus.
Proven experience in office administration and supporting multiple departments.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Basic knowledge of accounting and HR principles is desirable.
Detail-oriented, with a high level of accuracy.
Strong problem-solving and time management skills.
Ability to maintain confidentiality and handle sensitive information.
