Job Description:
Primary duty is organizing, coordinating, and planning operational facets of a global program and its related activities which include, but are not limited to the following: researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input. Monitors and reports progress of objectives and goals of the program. Develops promotional materials/venues, manages relational databases, and establishes/forecasts budget requirements. Develops work plans to accomplish objectives and monitors progress toward their achievement. Monitors expenditures and may prepare financial reports; may assist in identifying funding resources and developing fund-raising strategies and initiatives.
Prepares operational and statistical reports to assist in effective decision-making. Conducts training, represents the program at international meetings and conferences, and networks with affiliated groups. May write or develop reports, speeches, briefings, newsletters, promotional materials, grants or other written materials related to the program. Conducts research and gathers accurate information to develop various publications. May plan, administer, or monitor the program's budget or related grants. May assist in developing and coordinating program-related conferences, conventions, or meetings. May supervise staff. Performs related responsibilities as required. This is not an administrative support position.
PREFERRED
Qualifications:
Minimum of 1 year of supply chain management experience (forecasting, planning, inventory and logistics related work)
Experience working in international public health programs or with developing countries
Excellence in organization and logistics.
Excellent interpersonal communications skills, especially in cross-cultural settings
Demonstrated ability to work within cross-functional teams, multi-task and to work independently and work in a fast-paced environment to achieve results.
Demonstrated attention to detail, accuracy, and thoroughness of information.
Demonstrated interpersonal and written communication skills in English.
Proficiency in Microsoft Office application.
Professional written and verbal proficiency in a second language: French and/or Portuguese preferred.
ADDITIONAL JOB DETAILS:
PRIMARY
Responsibilities:
The Neglected Tropical Diseases Support Center (NTD-SC) supports operational research on shared issues confronting 5 diseases using funding from the Bill & Melinda Gates Foundation. The Logistic Coordinator will ensure smooth day-to-day logistics operations of the NTD-SC and will play a vital collaborative role to support Project Leads, Project Managers, Vendors and Partners to ensure research supplies arrive in a timely manner prior to research study initiation, including coordination of returning research samples back to the US. The individual will expeditiously and frequently communicate with internal and external parties involved, anticipate and engage client needs, provide reports, charts, graphs and other key information to assist the program execute effectively. All information and documentations will be adequately saved in appropriate folders, project management tools, and share across involved parties to execute flawlessly.
Specific responsibilities include the following:
Operations and Logistics:
Liaises with PL, PM, collaborators, vendors, & country representatives to coordinate and ensure shipments of supplies and samples with accompanying paperwork arrive to desired destinations in a timely manner to meet the study timeline.
Maintains accurate, updated supply and asset inventories. Monitors supply levels to ensure sufficient stock are available at all times.
Analyzes inventory of supplies to accurately forecast needs for future OR studies and assist in effective decision-making.
Track laboratory supplies that support field activities in coordination with an external collaborator directly to country through e-communications, phone calls and meetings
Track generally non-infectious samples from country of origin to the CDC or appropriate lab end-user.
Efficiently receives, submits for approval, and tracks routine procurement requests including sourcing quotations and identifying potential vendors.
Prepares purchase orders through the Financial Edges system.
Frequently communicates progress to PLs, PMs other clients; meets associated deadlines.
Ensures studies have received/met Institutional Review Board (IRB) requirements and study contracts are executed before shipments are made.
Updates NTD-SC supplies and samples database to accurately record progress and delivery in the interest of internal and external clients.
Accurately captures and updates related information in a well-organized, easily accessible repository (NTD-SC Google drive and Smartsheet Project Management tool), and properly safeguarded against loss or misuse.
Helps ensure adherence to operational, administrative standards operating procedures.
Prepares and disseminates materials, related documents (i.e. AWB, COA, SOPs, presentations) and other communications between the NTDSC and clients.
Works with supervisor and liaises with other Project Managers (PM) and Research Leads (RL) to coordinate and provide support to the programmatic activities related to Operational Research (OR) program and events associated with the NTDSC.
Reviews incoming correspondences and forwards appropriately or, based on knowledge of recipient's views, responds for them.
Acts a liaison to partner organizations with high level of diplomacy and tact.
Participates fully as a member of the Task Force for Global Health by contributing, assisting and participating in projects, activities and initiatives as requested by management.
If applicable, translates documents and country communications into French when deemed necessary.
TRAVEL: Less than 10-15% domestic and international
MINIMUM
Qualifications:
Bachelor's degree in a field related to the program and two years of related experience or an equivalent combination of education, training and experience.
